When is there ever "enough" security?

As someone who spends a considerable amount of time thinking about IT Security, I am tempted to give this question a flip answer. Though the question asked often, there really isn't a HIPAA Certified Security Specialistvery good answer. Enough, of course, would be the amount of hardware, software, policy and training that prevents 100% of data loss or exposure. In truth, the only way to obtain that lofty and worthy goal would be to never share data, in any form. But unused and unavailable data is useless, so right from the beginning we have to find a compromise between the elements of what Security geeks call the CIA triad. No sunglasses and silencers here; the CIA in this case stands for Confidentiality, Integrity, and Availability. Your data needs to be confidential, with only those who need to know having access ---this is why we have passwords and firewalls, to keep unwanted eyes from scanning our files. You also need to be certain that your data maintains its integrity, that no unwanted changes, additions, or deletions occur, another reason for passwords, encryption and identity management. But as I said before, unavailable data is useless, so an equal part of the formula is that your data is available to those who need it.

The dilemma is this: the tighter we choke down the Confidentiality and Integrity portions, the less Availability we have to our data. Eventually, in pursuit of absolute security, we degrade the user experience to the point that instead of being an ally in our war against the Black hats, our own users begin to look for shortcuts and bypasses simply to be able to continue with their work. Coupled with the often-quoted statistic that 85% of all data breaches are based on human error, and we have a pretty scary set of choices.

So how much is enough? Enough so that you are more inconvenient for the badguys than your neighbors in cyberspace, but not so locked down that your users' productivity and morale dwells somewhere in the basement latitudes. You don't have to be faster than the lion, you just have to be faster than the other zebra.

Improving QuickBooks Internal Control With Passwords

As QuickBooks has become more widely used as a bookkeeping tool by small business owners, the concerns and issues raised by accounting professionals deserve some attention. Based on the experience of this author, the most common concern relates to the audit trail: the ability to change entries after they have been recorded. This issue is compounded for the accountant because there are no formal month (or year-end) closing procedures that must be followed. This is a double edged sword because it means that the data can be quickly and easily corrected when mistakes happen, but it can also be easily changed after the books have been reconciled, financial statements issued, and/or the tax returns have been filed.  The password protection feature and related closing date password helps to reduce the likelihood of such problems when used consistently.  In addition, QuickBooks Premier and QuickBooks Enterprise Solutions products have several reports to assist in finding such changes.
